Event Management Services in the framework of the EIT Higher Education Initiative (https://www.eit-hei.eu/).

Procurement (type and scope of service or specification of needs and requirements)

EIT RawMaterials GmbH intends to establish a framework contract for event management services in relation to the EIT Higher Education Initiative.

It is therefore seeking an event management agency to support the planning, organ-isation, delivery, and follow-up of EIT Higher Education Initiative events until the end of 2028. The selected agency is expected to provide flexible, high-quality, and cost-efficient event man-agement services for in-person, hybrid, and online formats, depending on the needs of each specific event.

Concept outline for an in-person commu-nity event

See section 6.4.1 of the invitation to tender.
The tenderer is requested to prepare a concept with an outline for an in-person community event with the following minimum content (see table below). The outline for an in-person community event should not exceed 20 DIN A4 text pages (with maximum font size 11, Arial or comparable).
The tender concept shall be prepared up in accordance with the guidelines set out in the sep-arate document "In-Person Community Event Brief."

Review procedure

1) Registration with the commercial register (Indication of the HRB/HRA number and the register court). If there is no obligation to register (e.g. due to the legal form), corresponding information must be provided.

Business liability insurance
Evidence must be provided of the existence of business liability insurance for activities that are the subject of the tendered contract.

Minimum requirement
The business liability insurance to be proven must include the following minimum coverage:
Personal injury, property damage and financial losses: EUR 500,000 sum insured per claim and limited to EUR 1 million sum insured for all claims in an insurance year.

References
Tenderers have to make proof of suitable references in the form of a self-declaration in a list of the main supplies and services delivered or performed over the last three years before the deadline for submission of tenders. For the purpose of this procurement procedure, a reference is defined as a contractual relationship between the tenderer and a client covering services which are comparable to those subject of the tendered contract.

By the means of references it has to be made proof of the following (minimum requirements):

- EU Institutions: The tenderer must demonstrate its experience with event management services with EU institutions, international organisations, public sector bodies, or other organisations of similar scale and complexity (minimum requirement: one reference).

- Innovation and technology sector: The tenderer must demonstrate its experience with event management services in the innovation and technology sector, including organisations promoting research, innovation, entrepreneurship, technology commercialisation, digital transformation, and industrial competitiveness.
For the purpose of this procurement procedure this sector is to be defined as sector in whch companies and public entities develop, manufacture and distribute technologies, e.g. software, IT, hardware, electronics, telecommunication, deep tech (minimum requirement: one reference).

- In-person, hybrid, and online events: The tenderer must demonstrate its experience with international in-person, hybrid, and online events, including including conferences and workshops. (minimum requirement: one reference).

Note: One reference may cover more than one of the above-mentioned exclusion criteria.
